How to: edit or add delivery schedules

Modified on Mon, 23 Dec, 2024 at 9:51 AM

Implementing delivery schedules can enable your shop or portal to include or exclude specific dates to relieve pressure on transport operations or simply because you'll be taking a well deserved break.

Step 1: Introduction.

First, let's start by explaining where you can find the option to add delivery schedules; go to 'Shop Beheer' or 'Shop management', there you see a menu item called 'Leverschema's' or 'Delivery schedules'. Here you can add or edit a schedule.

Step 2: Explaining deadlines.

In the bottom right you'll spot a button 'Create'. A new screen will open where we can start to add a delivery schedule. First you'll see 'Default schedule', this relates to deliveries. Below that you'll see 'Pick up schedule' which relates to pick-up.

Let's go over the settings.

Name: Here you can name your delivery schedule, this name will be shown in Vendisto in the delivery schedule overview.

Deadline time: Here you set the time which will be used as a deadline where customers cannot order anymore if the time has past.

Deadline days: Here you set the amount of days that orders must be placed prior to the the day this field is linked to.

Let's take one example;

We want to set conditions for delivery on Monday with a deadline time of 12:00 and 4 deadline days. This means that if a customer wants their order to be delivered on Monday, they will need to place an order before Thursday 12:00. Here the 4 deadline days mark Thursday (4 days before Monday) and 12:00 marks the deadline time.

Let's set another example where if customers want to receive a delivery Thursday, they must order before 15:00 on Tuesday. Which is set like this; Tuesday being 2 days before Thursday and 15:00 setting the deadline time.

Step 3: Saving initial setup.

All done setting up initial deadline days and times? Press the 'Save' button on the bottom right to save the settings you've set and lets move on to step 4!

Step 4: Setting customer specific schedules.

After saving, you will notice 2 tabs have been added to next to 'Delivery schedule'. 'Clients' & 'Overrides'. Let's tackle the 'Clients' tab first.

The clients tab is where you manage which customers will be affected by a delivery schedule. This way you can create multiple schedules and link them to different customers which comes in handy if you have clients that are in different cities or countries.

You can link customers to a specific delivery schedule by going to this 'Clients' tab, clicking on a customer and then clicking on the single arrow pointing to the right.

Unlinking a customer from a delivery schedule is the same steps as above, just the other way around.

Want to link all customers to this schedule? Just click the double arrows pointing right and voilà.

Pro tip! Don't forget to save using the buttons on the bottom right.

Step 5: Setting exceptions to the schedule.

Delivery schedules are a great feature, but what if you want to be able to create an exception for when deliveries are not possible, like during holidays?

Navigate to the last tab in the delivery schedule settings, called 'Exceptions'. Start of by creating a new exception.

A pop-up will open where you can add/edit the settings. Let's start from the top-down.

Schema type: Here you can pick between 'Delivery' or'Pick-up'. Selecting either will specify for which method this exception will be enabled. Choose delivery to create an exception for a date you won't be able to deliver. Choose 'Pick-up' to create an exception for when pick-up won't be able.

Delivery date: The title of this setting may be a little confusing but it is no more than the date you wish to create an exception for. Want to cancel out any delivery or pick-ups on the 26th of december? Just fill in the 26th of december into this field.

Deadline: This setting acts as a cut-off time, creating more specific exceptions. For instance, if you want to be create an exception for the above mentioned date, but you only want this exception to run after midday? You can set the deadline to one day prior at 12:00.

Exception typeThis toggle makes the difference between an excluding and including. What does that mean? Having this toggle set to off or 'Blocked' means the exception you're creating now will become a date on which people cannot have orders delivered.

Setting this toggle to on or 'is an adition' will mean the exception you're creating will become a date on which people can have orders delivered.

Maybe your regular schedule does not deliver on Wednesdays, but just for once you will deliver on a specific Wednesday, then you will need to set this toggle to on or 'is an addition'.

Link exception to: This setting enables the ability to having an exception set to a specific customer or to all the customers of the delivery schedule we're editing. Why?

Well, let's say the delivery schedule is perfect for all customers, except one. For this one customer, you won't be able to deliver on a specific day. Just select the 'Specific customers' box and set a specific customer.

Want to have this exception running for all customers in the delivery schedule, then the 'All linked customers' setting is perfect.
